This position is ideal for an aesthetics student, recent graduate, or licensed aesthetician who is eager to develop their skills in client relations, skincare education, and business operations.

Position Overview

The Client Relations & Administrative Assistant will support the client experience and administrative functions of J. Flower Beauty.

The successful candidate will help nurture client relationships, maintain communication, and assist with essential business tasks that contribute to client satisfaction, retention, and overall business growth.

This role offers flexibility, mentorship, and the opportunity to grow alongside an expanding skincare business.

Responsibilities

Client Relations & Follow-Ups

Send post-treatment follow-up messages to clients
Check in with clients regarding skincare progress
Answer basic skincare questions using approved protocols
Assist with product recommendation follow-ups
Request client reviews and testimonials
Encourage appointment rebooking when appropriate

Administrative Support

Assist with client communication and inquiries
Help manage appointment confirmations and reminders
Maintain follow-up schedules and client records
Support organization of internal documents and systems

Marketing & Communications

Draft one monthly client newsletter
Assist with occasional promotional communications
Provide support with minimal social media content and content ideas as needed

Bookkeeping Support

Create and implement a simple invoice organization and tracking system for the business
Organize existing invoices and financial records into a structured format
Maintain and update invoice records on an ongoing basis
Track outstanding invoices and payment statuses
Assist with basic administrative bookkeeping tasks and record keeping

Expected Monthly Deliverables

Complete client follow-ups for assigned clients
Send review requests and collect testimonials when applicable
Draft and submit one monthly client newsletter
Assist with appointment reminder and rebooking outreach
Maintain organized client communication records
Maintain the invoice tracking system and update records as needed
Complete assigned administrative and bookkeeping tasks
Tasks and responsibilities may vary slightly from week to week based on business needs and seasonal priorities.

Qualifications

Preferred Qualifications:

Current aesthetics student, recent graduate, or licensed aesthetician
Passion for skincare and client care
Strong written communication skills
Organized and detail-oriented
Self-motivated and reliable
Professional and client-focused
Comfortable working independently

Compensation & Perks

Monthly Retainer

$250 CAD per month

This position is structured as a flexible, remote independent contractor role with opportunities for increased responsibilities, hours, and compensation as the business grows.

90-Day Review

A formal review will take place after the first 90 days to evaluate performance, workload, overall fit, and future growth opportunities within the company.
